The Deploy Phase
More Than An Install
Finally, you're ready for some cool new gear to show up. We're excited too, but before we start deploying we get our deploy team on the same page with the other important people to create a powerful technical system. Not only do we work with your architect, general contractor, urban planner, electrical and mechanical contractors, but we also have team meetings with your volunteers and staff who will use the system. Most people think we are successful once the gear is physically installed and working. We define success when your volunteer team understands how to operate the system. We want your team to understand all the gear, its purpose, and how you can best utilize its capability.
Planning, Scheduling And Purchasing
If the design phase was all about ideas and anticipation the deploy phase is about planning, scheduling, and purchasing. It is important not to over simplify this phase because you are now spending money on equipment and bringing in multiple trades, and mistakes will be costly. After months of using brainy muscles, now we get to use regular muscles. Before we start the heavy lifting there a lot of important things to accomplish. The deployment phase accomplishes three major goals: procurement of all materials necessary to complete the project, installing the materials as specified by the design documentation and recognized standards, and training the staff and volunteers to use the system. The deploy phase is where we hammer out project timelines, milestones and deadlines. We line up the phone numbers, email addresses and critical contacts to complete the install. We recognize the complexity of the deploy phase is determined by the complexity of external factors like construction, remodeling, permits, certifications or ongoing business and our ability to accommodate multiple dependencies with multiple vendors changes your install from frustrating to stress-free.
Living In Harmony
This might be the best time to mention we're multi-lingual. Not only do we speak audio, video and lighting, but we're also fluent in other subjects like architectural, construction, electrical, mechanical, and urban planning which means we become your advocate; there is less translating and interpretation for you. So while you're worrying about lining up volunteers for all your new gear and dreaming about new possibilities we'll be ironing out the details with your major trades for integrating your system into the building. Our goal is to not only make sure the system we install works but that it also lives in harmony with your building acoustically, electrically and aesthetically.
We're also phenomenal when it comes to handling vendors, and because we do the ordering you'll have one less checklist to worry about. We'll create a timetable for ordering all of the components for the new systems in accordance with any existing schedule, whether it's construction-related or event-based. When everybody is ready to commence the install the resources are timed and made ready for installation: components are ordered; subcontractors are scheduled; facilities are reserved; equipment is reviewed and inspected. At this point, you select a project liaison from your organization who functions as our chief contact for the installation. If applicable, we will inform you of deliveries and the reception and storage requirements of the items (an 18-foot long, 250-pound screen needs a special home).
Building Your System
Before we turn the first screw or cut open a box we begin with our pre-install meeting. It gives us one last opportunity to review previous on-site surveys or construction drawings with the team enabling them to button down details about procedures, timing and tasks. It arms them with information from everybody involved in the project and allows on-site operations to proceed according to plan. Now all the resources are in place, the planning has been done, and the real fun begins. Our crew arrives to assemble the pieces and parts of your custom solution. During this step, cables are run, interfacing is positioned, racks are built, and components are fitted. Every piece of equipment receives a custom barcode and is recorded in an inventory spreadsheet with its part number, description, serial number and warranty information. During this time, we interface with your project liaison for questions, requests, and project updates.
Training Your Crew
Training signifies the transference of the system from our immediate care to yours. We partner with your end- users to educate them on the features, capabilities and operations of your new system. You receive custom notebooks containing all pertinent system information and a copy of the inventory spreadsheet (we keep a copy of the inventory in our files for future reference and for safe-keeping). Of course, we are always available to field questions and respond to any troubleshooting issues you may have. After one year, we will schedule a follow up review of your system to make sure that performance meets your expectations.
